Consents and email choices

Know what each person has agreed to, and record it when they change their mind.

Who can do this: coordinators and admins on the person's record. Members change their own email choices in their account.

Gizzago keeps a dated history of four kinds of consent: Terms and conditions, Newsletter emails, Photos and Privacy notice. Every change is kept, so you can always see when someone agreed or withdrew.

Steps

  1. Press People in the sidebar, search for the person and open their record.
  2. Go to the Consents tab.
  3. Read Where things stand. Each kind of consent shows Agreed with a date, Withdrawn with a date, or Not asked.
  4. To record a change, choose the kind of consent under Record a change.
  5. Under They, choose agree or withdraw.
  6. Press Save.
What you'll see

A message says Consent recorded. The badge under Where things stand updates, and the change is added to the History list below, with where it came from (for example sign-up, the desk or their account) and the date. It also appears on the person's timeline.

The Consents tab also shows the household's Gift Aid declaration, if they have made one.

  • Joining online: families tick to agree to the terms and privacy notice, and can tick Email me news and offers (optional).
  • Added by a coordinator: the Add person form has They are happy to get our newsletter by email. Leave it unticked unless they said yes.
  • Their own account: members can switch newsletter emails on and off at any time (below).

How members change their email choices

  1. The member signs in and goes to Preferences in their account.
  2. They switch News and offers on or off.
  3. They press Save. A message says Preferences saved.

Members always get the emails they need to borrow: reminders, receipts and reservation updates. The News and offers switch only controls newsletters and other news. When you write to your members and choose News and offers, Gizzago only sends it to people whose latest answer is yes, and adds an unsubscribe link.
