Notes, desk flags and safeguarding notes

Pass on what the team needs to know about a family, at the right level of privacy.

Who can do this: coordinators and admins add notes and desk flags. Only someone with the Safeguarding lead role can read or add safeguarding notes.

There are three kinds, each for a different job:

  • A desk flag is one short line the desk volunteers see when they load the family, such as "Prefers large print receipts".
  • A note is for the team. You can choose to let the member see it in their account.
  • A safeguarding note is private to the safeguarding lead. Nobody else can read it.

Set a desk flag

  1. Press People in the sidebar, search for the person and open their record.
  2. Go to the Notes tab.
  3. Type a short line in Desk flag (up to 120 characters).
  4. Press Save flag.
What you'll see

A message says Desk flag saved, and an At the desk: banner appears at the top of the record. Volunteers see the flag at the desk when they load the family. To remove it, empty the box and press Save flag again.

Add a note

  1. On the Notes tab, press Add note. A panel opens.
  2. Write the Note.
  3. Under Who can see it, choose The team only or The member too, in their account.
  4. Tick Pin to the top if it should stay at the top of the list.
  5. Press Save note.

The note is listed with a Team only or Member can see label, and it appears on the person's timeline. To delete a note, press Remove on it and confirm.

A Member can see note is included when the member downloads their data. Not yet: the member's account pages do not show notes.

Safeguarding notes (safeguarding lead only)

  1. Open the person's record and go to the Notes tab.
  2. Press Open safeguarding notes.
  3. Gizzago asks you to Confirm it's you. Type your password (or a code from your authenticator app) and confirm.
  4. Back on the record, press Open safeguarding notes again. The notes appear.
  5. To add one, write it under Add a safeguarding note and press Save safeguarding note.
What everyone else sees

Coordinators and other team members see a Safeguarding: see lead badge at the top of the record. The Notes tab says There are safeguarding notes on this record, and that only the safeguarding lead can read them. They never see what the notes say.

Every time the lead opens or adds a safeguarding note, Gizzago writes it in the audit log. Safeguarding notes are never included in CSV exports, and never in the data a member downloads about themselves.

An admin gives someone the Safeguarding lead role in Settings > Team and devices.
