Payments, charges and balances
See exactly what a family owes and has paid, and put it right from their record.
Who can do this: coordinators and admins. Only admins can reverse a payment.
Money in Gizzago belongs to the household, so everyone in a family shares one balance. During a session, volunteers take money at the desk instead (see Take a payment).
Take a payment
- Press People in the sidebar, then the Owes money chip, and open the person.
- Go to the Payments tab. The Owed now card shows the balance, and Waiting to be paid lists the open charges.
- Press Take payment. A panel opens with the charges already ticked.
- Under How are they paying?, choose Cash, Card (own reader) or Bank transfer. Check the Amount.
- Press the button with the amount on it, for example Take £1.50.
The Owed now card says Nothing, and Account history shows Payment received with the running balance.
Add a charge
- On the Payments tab, press Add charge.
- Choose the Type: Something sold, Donation, Damage, Missing piece or Write-off.
- Fill in What for and the Amount, then press Add charge.
Waive a charge
- Press Waive next to the charge.
- Say Why. A reason is required, and it is kept in the audit log.
- Press Waive charge.
Reverse a payment (admins only)
- Press Reverse next to the payment.
- Gizzago may ask you to confirm it's you.
- Say Why and press Reverse payment.
The original payment stays in the history next to its reversal, so the books always add up.
Sort out an owed piece
If someone owes a missing piece, their record shows an At the desk: banner and an Owes block on the Overview tab. When the piece turns up, press Mark found. If it is gone for good, press Write off and confirm. The banner clears once nothing is owed.
Members paying online
Members can see their balance on the Payments page of their account and press Pay balance to pay by card. This only works once your library has connected Stripe in Settings > Fees and payments. Until then, members pay at the desk.
A person added without a household has no account, so their Payments tab says No household, so no account.
