Move day, and inviting your members
Know what happens on move day, what you need to do, and how your members get into Gizzago.
Who can do this: your library's main contact for the move, with an admin who can sign in to Lend Engine, your website and Stripe. The Gizzago team runs the move with you.
Most libraries move between two sessions: pause after the last session of the week, and go live before the next one.
Steps
- A week before: tell your members that the library is moving, that an email will invite them to sign in, and that their membership and loans come with them.
- The day before: switch off Lend Engine's automatic emails, so members do not get reminders from both systems.
- Freeze. After your last session, everyone stops using Lend Engine. We turn off new registrations there.
- Final export. We take the final copy of your data from Lend Engine, including the latest photos. If your plan offers a full backup, take one too and keep it safe.
- Run the move. We bring everything across, the same way as the practice runs.
- Check the counts together. Compare Gizzago with Lend Engine's own screens: the number of toys, members, memberships, loans and reservations.
- Spot-check 20 toys and 20 members. Choose ones you know, such as a toy out on loan or a family with two children. Check names, photos, codes, due dates, households and end dates.
- Switch payments. Gizzago connects to your own Stripe account (see below), and Lend Engine is disconnected from it, so only one system takes payments.
- Switch your website buttons. Point your website's "Browse toys" and "Join" buttons at your Gizzago address.
- Invite your members. Each account holder with their own email address gets one invitation with a sign-in link. They follow it, then choose a password or a passkey. People with no email, or a shared one, are invited once a coordinator has fixed their entry on the review list.
- Invite your team. Volunteers and coordinators are invited separately, with the right roles. See Team and devices.
- Keep Lend Engine read-only for two weeks to look things up. Then take a last backup, check it opens, and cancel.
On the next session day, volunteers open the desk in Gizzago, and members who have accepted their invitation can sign in, see their loans and reserve toys.
Stripe: keep your own account
Lend Engine took card payments through your library's own Stripe account. You keep that account. Gizzago connects to it from Settings > Fees and payments, so customers, saved cards and payment history stay where they are.
If memberships renew automatically through Stripe, we take those renewals over on move day and disconnect Lend Engine, so no one is charged twice. If members pay once a year, their end dates come across and Gizzago asks them to renew when the time comes.
If something goes wrong
Until Lend Engine is disconnected from Stripe, it is untouched. If the checks in steps 6 and 7 fail, we switch back and try again another week.
What members see
If a member cannot find their invitation, ask them to check their junk or spam folder, then tell us and we will send it again. After signing in, ask members to check their household and children's details in their account.
