Manage a reservation
Change a reservation for a family when their plans change, or tidy up after a session.
Who can do this: coordinators and admins. Members can change or cancel their own reservations from their account until bookings close.
Find a reservation
- Press Loans in the sidebar, then the Reservations tab.
- Use the chips to choose Upcoming, Past, Not collected or Cancelled. The sessions that have reservations are listed along the top, each with its own Pick list button.
- Press the member's name on a row. A side panel opens.
You can also open a reservation from the person's record: go to their Reservations tab and press the reservation.
The panel shows the reservation's status, a link to the member, when they Collect and when the toys are due Back by, when it was Booked, and each toy on it. A toy marked At risk is waiting on a return that has not come back yet, and the panel says why.
Move a reservation to another session
- In the panel, choose a session under Move to another session.
- Press Move.
A message says Reservation moved, and the member gets an email telling them the new date.
Cancel a reservation
- In the panel, press Cancel reservation.
- Gizzago asks Cancel and tell the member? Press Cancel it.
A message says Reservation cancelled. The toys are free for others again, the reservation leaves the Upcoming list, and the member gets an email.
Mark a reservation not collected
Once a session has started, you can release reservations nobody came for. Gizzago also does this by itself 2 hours after the session ends, so you only need to do it by hand if you want the toys back on the shelf sooner.
- For one reservation: open it and press Not collected in the panel.
- For several: tick their rows in the list and press Mark not collected in the bar that appears.
The toys are released, and the member gets a kind email with a Rebook button (see "Still coming?" and "Rebook" emails). There is no fine. The missed collection is noted on the family's timeline.
What the statuses mean
- Reserved: booked and waiting for the session.
- Ready to collect: every toy has been picked and set aside.
- Collected or Partly collected: handed over at the desk, in full or in part.
- Not collected: nobody came, and the toys were released.
- Cancelled: cancelled by the member or the team.
Handing reserved toys over happens at the desk: see Hand over reserved toys.
Staff cannot yet make a new reservation on a member's behalf. Ask the member to reserve online, or lend the toys at the desk on the day.
