Invite your team
Get your volunteers and coordinators signed in, whether you invite them one at a time or all at once on the day you start.
Who can do this: admins.
Each person on your team gets their own sign-in. You invite them by email from Settings > Team and devices. The email has a link that works for 7 days. They press it, choose a password, and they are in.
Steps: invite someone now
- Choose Settings in the sidebar, then Team and devices.
- Press Invite someone.
- Type their Email address and, if you like, Their name (optional).
- Tick their roles, and their Sites if you have more than one.
- Leave Send the invitation email now ticked.
- Press Send invitation, then confirm it's you.
"Invitation sent". They are listed under Waiting to accept, with their name if you gave one, until they choose a password.
Steps: add people now, send later
Useful when you are getting ready to start with Gizzago and want to set everyone up before the first session.
- Press Invite someone and fill in the panel as above.
- Untick Send the invitation email now.
- Press Add without sending, then confirm it's you.
"Added, not sent yet". They are listed under Not sent yet, with their roles and the date you added them. Nothing has been emailed, and nobody can use the invitation until you send it.
When you are ready:
- One person: press Send invitation on their row, then Send it.
- Several people: tick their rows, press Send invitations in the bar that appears, then Send and the number (for example Send 2).
- Changed your mind? Press Remove on the row, then Remove it. Nothing was sent, so they will never know.
Once sent, each person moves to Waiting to accept, and their link works for 7 days from then.
When people share an email inbox
Some libraries share one email address, such as a library Gmail account that several volunteers read. That works, but it is best if each person has their own address, so each has their own sign-in and their work is recorded under their own name.
If you do invite someone at a shared address:
- Type their name in Their name (optional). The email says "This invitation is for" that person, and "If more than one person reads this inbox, only the person named here should accept."
- The page they open says the same, and asks anyone else not to accept it.
- An invitation can only be used once. If a second person opens the link, they see This invitation has been used.
One email address can only have one sign-in. Gizzago treats ann.marie@example.org and annmarie@example.org as
two different addresses, so make sure you type the address exactly as the person uses it.
If someone cannot find their invitation
Ask them to check their junk or spam folder. If the link has run out (after 7 days), press Cancel invitation under Waiting to accept, then invite them again.
