Import from a spreadsheet or a Capture file

Bring in a whole list of toys at once, and see exactly what will happen before anything is added.

Who can do this: catalogue volunteers, coordinators and admins. A coordinator then accepts the toys in the Intake inbox.

You can import two kinds of file:

  • a Capture package (a file ending .capture.zip, up to 200 MB), for example one exported from a Capture project;
  • a spreadsheet saved as CSV (up to 2 MB and 5,000 rows).

Get your spreadsheet ready

Put one toy on each row, with column names in the first row. Gizzago needs a Name column. It also recognises these column names:

  • Description, Category, Brand (or Manufacturer)
  • Age (or Suitable age, Age band), Condition
  • Pieces (or Contents), Replacement value (or Value)
  • Code (or SKU, Item code): the code already on the toy's label
  • Barcode (or EAN), Quantity (or Qty)
  • Keywords, Colour, Size and Notes

Columns with other names are ignored. In Excel or Google Sheets, use Save as or Download and choose CSV.

Steps

  1. In the sidebar, choose Toys, then Add toys, then Import from Capture or a spreadsheet.
  2. Under File, choose your .capture.zip or .csv file.
  3. Press Check file. The next page says "Checking the file. This page updates by itself." Wait a moment.
  4. Read the summary, for example "4 new toys, 0 updated", with any warnings and rows left out. Look at the sections underneath:
    • Left out: rows Gizzago could not use, such as a row with no name.
    • Worth a look: for example a toy that "may already be in the catalogue as Balance board", or a code used twice (the second copy gets a new code).
    • In this file: what will come in.
  5. If it looks right, press Import 4 toys as drafts (the number changes). If not, press Discard, fix the file and try again.
What you'll see

A message, "Sent to the intake inbox", and the Intake inbox opens showing just this file's toys. Nothing is in the catalogue yet: a coordinator accepts them there as drafts. See The Intake inbox.

Recent imports

The import page lists your recent files with their state: Checking, Ready to import, Importing, In the inbox or Could not be read. Click one to see it again.

Good to know

  • Rows from a Capture package that were imported before are skipped, so importing the same file twice does not make duplicates.
  • Codes in the file are kept, so labels already on your toys still scan.
  • Photos in a Capture package come in private. Publish them from each toy's Photos tab.
  • If your library uses the separate Capture phone app, an admin can connect it under Settings > Connected apps, and what it sends arrives in the Intake inbox without a file.
