Piece lists and return checks

Tell the desk what should come back in the box, so missing pieces are spotted at return and not at the next loan.

Who can do this: catalogue volunteers, coordinators and admins.

Every toy can have a piece list and a return check. The piece list is printed on the label ("12 pieces") and shown on your public toy page. The return check decides what the desk volunteer is asked when the toy comes back.

Steps

  1. Open the toy's page (see Find a toy in the catalogue) and choose the Pieces tab.
  2. Under At return, the desk should, choose one:
    • No check: for single-piece toys such as a balance board.
    • Ask "all pieces back?": one quick question.
    • Tick a checklist: the volunteer ticks each piece on your list. Best for toys with several different parts, such as a doctor's kit.
    • Count the pieces: for bags of similar pieces, such as building bricks. Set Allow this many short if a few missing bricks still count as complete.
    • Weigh it: for large sets that are easier to weigh than count. Enter the Expected weight (grams).
  3. Under What should be in the box, add a row for each piece: How many and the Piece name (for example "4" and "blue counters").
  4. Press Add a piece for another row, or Remove this piece to delete one.
  5. Press Save pieces.
What you'll see

A message, "Pieces saved". The Pieces tab shows the count of pieces, and the next labels you print for this toy include it.

What happens at the desk

When the toy is returned, the desk asks Are all the pieces there? If they are, the volunteer returns it as normal. If not, they use the Missing stepper to say how many are short and can add a note; the button then reads, for example, Return, 1 piece missing. Gizzago notes the missing piece against that copy and against the member who borrowed it. If there is no time to count, the volunteer can choose Count later, which puts the toy on the Floor queue until someone counts it.

Missing pieces then appear in Toys > Care under Missing pieces, where you can mark them found, replaced or written off.

Tips

  • Keep piece names short and easy to recognise on a busy desk: "red car", not "vehicle (red, small)".
  • A photo of everything laid out on the Photos tab helps volunteers check quickly.
